Contract Extension Option The Iowa DOT has the option to extend FY2010 and FY2011 contracts with salt suppliers for another 12 months. If contract extensions are mutually agreed upon by DOT and suppliers for FY 2012, Political Subdivisions may also have the option to extend under the same terms and conditions. A notice will be sent to Political Subdivisions about the status of existing contracts and options prior to any new bid letting. If any contracts are extended with suppliers, Political Subdivisions will be notified for their acceptance of any changes to the contract. Political Subdivisions will be asked for their acceptance or rejection of the new terms and pricing for FY 2012. New proposal If,required, the Iowa DOT will solicit bids for Rock Salt for fiscal year 2012 (July 1, - June 30) for any locations that are not covered under a contract extension, including participating Political Subdivisions. Once bids are received and tabulated, participating Political Subdivisions will be asked to accept or reject the low bid prices listed in the bid tabulation. A bid opening date of May 18, 2011 has been scheduled. Upon acceptance of any bid prices for either contract extension or new contract, entities are required to purchase 80% of the estimated tonnage direct from the awarded salt supplier, not from any local Iowa DOT Maintenance facility for seasonal quantities over 25 ton. Political Subdivisions have the option to contract directly with salt vendors and not be included on the state contract. The Iowa DOT accepts no responsibility for any contract negotiations agreed upon by a Political Subdivision and a salt vendor. Please provide salt quantities for FY2012. Contract terms will include an 80% - 120% clause for salt purchase requirements. This obligates the customer, (Political Subdivision) to purchase 80% of the contracted tonnage for a twelve-month period and obligates the vendor to supply up to 120% of the estimated tonnage. A fuel adjustment allowance is also included in the contract terms as mutually agreed upon by Iowa DOT and supplier. The fuel chart will be included in the contract information provided to each participating Politica! Subdivision.
