HomeMy WebLinkAboutMinutes-07/24/2019 MEMORIAL HALL COMMISSION July 24, 2019 5:00 p.m. Veterans Memorial Hall Members present: Randy Miller in the Chair, Rodney Butz, Don Ticknor, Mel Wittwer, Marilyn Robinson, Jim Lentfer and John Mrzlak(A). Absent: Craig White, Scott McDonald, Marcia Courbat, Mike Mrzlak, and Angela Hickok(A). Also in Attendance: Nancy Higby, Administrative Secretary Moved by Ticknor, seconded by Robinson, that the Agenda be approved. Ayes: Six. Motion carried. Moved by Ticknor, seconded by J. Mrzlak, that the Minutes of June 26, 2019, as presented, be approved. Ayes: Six. Motion carried. Citizen's Oral Comments Richard Hurtado brought a gallon of paint to be used on the front steps. He also stated the Pittsburg Paint provided the paint at no charge for veterans. Treasurer's Report Marcia Courbat was absent. Nancy Higby read the treasurer's report as provided by Marcia. The brick fund as of July 24, 2019 is $6,762.71 and the flag fund is at $113.21. The city has taken care of the Memorial Day expenses, and the post office box renewal is due. She has a key to the post office box and asks that Jim Lentfer call her. A discussion ensued regarding whether to continue to pay for a post office box or to have mail directed to the Memorial Hall or City Hall. Moved by Lentfer and seconded by J. Mrzlak to pay for another six months rental on the post office box and monitor how feasible it is to continue before to moving to cancel. In four months, Jim will report back to the commission with his recommendation. Ayes: Six. Motion carried Moved by J. Mrzlak and seconded by Wittwer to reimburse Jim Lentfer in the amount of$59 for the renewal of the post office box with submission of the paid receipt to Nancy Higby at City Hall. Aye: Six. Motion carried. Chairperson's Report None. (Absent) Committee Reports Building, Grounds & Operations—Chairperson Mel Wittwer Mel Wittwer reported that the garbage receptacle ;was full and questioned what day the city picks up the trash. Nancy Higby suggested he contact the Sanitation Department. He further stated that there are only two keys to the office. He has one and Randy Miller has the other. He has had a few made but they don't work. Randy gave his key to Mel. Jim Lentfer commented that the locks may need, replacing but he'll bring the matter back up at next month's meeting for review. Education/Historical—Chairperson Randall Miller Randy Miller provided an overview of his conversation with city staff regarding the proposed picnic tables on the grounds. He was told there are currently no funds available in the building department budget due to recently replacing two HVAC units and that they would continue to search for opportunities. July 24, 2018 Page 2 Randy reported that the cost to complete the project would be approximately $5,000. Some discussion took place regarding possible options to raise funds, as well as the possibility of matching funds from the brick fund to help pay for the project. Richard Hurtado suggested that garbage cans be secured to a cement slab near the tables. Finance/Fundraising—Chairperson Marcia Courbat Nancy Higby read from Marcia's report that there is still no reply from John Deere requesting funds to cover cemetery flags. Artifacts Preservation—Chairperson James Lentfer Jim Lentfer reported that his committee has met and found that there is a need to update current forms. He will put some ideas together and return to the commission with his recommendation. As previously mentioned, the WWII memorabilia is lacking and he is hoping to put together a new display for next year. Jim reported that he did use the heavy duty Command Strips to hang the picture of General Logan, but it failed and the picture fell and broke. He will look into getting it repaired and will stop into the City Clerk's office to get the contact information for building officials to discuss options to hang the picture in a more secure way without damaging the walls. He is also interested in finding out if the city has a used computer they might donate for the Memorial Hall for the purpose of managing records and inventory of artifacts. Nancy referred him to Chris Youngblut, IT Director. Jim would like to have Angela Hickok, who sits on his sub-committee, share with the commission her knowledge of software that may help manage the historical records and artifacts. Mel Wittwer commented he likes the idea of being able to access, review and research records in one location. Jim commented that he would like to put together an improved display box to showcase various patches. Randy Miller suggested that each patch should include a card documenting its significance and historical background. Jim commented on the table of honor that was moved and acknowledge that it is now in a great spot. Unfinished Business None. New Business Randy passed out information on the Vietnam Vigil and stated that if there is interest in signing up to volunteer, please contact Craig White. There will not be another commission meeting before the vigil. Randy said there will be another fund raiser for the next honor flight and to contact him for more information. With no further business before the commission, it was moved by J. Mrzlak, seconded by Ticknor,that the meeting be adjourned at 6:02 p.m. Ayes: Six. Motion carried.
