Your facility will be used as a polling location for the June 5, 2012, Primary Election.
Precinct officials will require access to your facility at 6:00 am on Election Day. Tables
and three to five chairs will be needed. The polls will close at 9:00 pm and additional time,
approximately one hour, will be needed to process election results and prepare the precinct for
closing.
The election equipment will be delivered during the week prior to the election, usually
Tuesday, Wednesday or Thursday. The locked equipment will arrive on a four-wheeled cart
and will remain covered on the transport cart until precinct election officials arrive Election
morning. Equipment pickup occurs following the election, usually on Wednesday or Thursday,
barring any rental truck delays.
Your assistance with these election details and to our election officials is very much
appreciated. Please be sure that the proper person or persons receive this reminder notice to
prevent any voting delays opening the facility on Tuesday, June 5, 2012.
Please take a moment to review our emergency contacts and phone list for your location.
We have highlighted and enclosed the specific page of our HOT SHEET reference for your
comparison. A minimum of two contacts are needed to back us up election morning, especially
if the primary contact has their own emergency. Cell phone numbers should include the area
code if they are not within our 319 area. To report any changes or additions call Amy or Josh at
833-3007 to assist you. If you have a preference to receive our notifications electronically, we
will accept your email addresses too.

We have enclosed a couple brochures that describe the process of becoming a Precinct Election
Official. Please feel free to share this information with anyone who has an interest working an election
at your location or possibly elsewhere.
Cities and counties are now required to schedule special public measure elections on one of the
following three dates: the first Tuesday of March, May and August of each year. Likewise, schools must
also schedule special public measure elections on one of three dates in odd numbered years: the first
Tuesday in February, April and the last Tuesday in June. In even-numbered years those school dates
are the first Tuesday in February, April and December.
Special elections for vacant candidate seats (vacancies) may be called as needed. Our experience is
that to-fill-vacancy elections occur on a very infrequent basis. We will notify you separately if any
special elections are called by local governing cities or school districts.
Again, without your continued support, the election process could not be considered a success. We
look forward to working with you and your staff and extend our best wishes for 2012. If you should have

Helping citizens become registered to vote or request an absentee ballot is easy. Enclosed are the most current
versions of each document which may be photocopied and freely distributed. We request that applicants legibly
complete each of the forms to prevent delays in receiving an absentee ballot or new voter card. Completed
documents must be mailed or dropped off at the Elections Office in a timely fashion. Please discard any forms that
do not match our examples.

Some telephone books include voter registration forms. An example would be Qwest Dex: June 11 (blue
communication pages)—Pages 37 & 38.
Posters are included for your bulletin board to increase the awareness of voter registration deadlines for this year's
upcoming elections.
All potential voters are strongly encouraged to pre-register for voting,however Iowa law does provide for persons
who are not registered on election day to become registered using the Election Day Registration process. This
process requires voters to meet three requirements:
1. Provide proof of Identity (photo ID)
2. Provide proof of Residency (your current address in the precinct)
3. Sign an oath (attesting that the information you give is true)
There is a very specific list of what constitutes an acceptable form of identification. ID's must have an expiration
date which is not expired.
If the photo ID presented does not contain the voter's current address in the precinct, voters will be required to
present another document(from an acceptable list)that includes the voter's name and current address.
Voters with no identification may establish identity and residence in the precinct by written oath of a person who is
registered to vote in the precinct.
