LETTER OF AGREEMENT
EITA GRANT PROGRAM
This agreement entered into on November 17, 2006 Maureen Newbill hereinafter referred to as the
PROJECT COORDINATOR and the Eastern Iowa Tourism Association, hereinafter referred to as
the REGION, relates to the grant awarded Special Events Advertising hereinafter referred to as the
PROJECT. The parties of the Agreement agree as follows:
1. The REGION agrees to provide promotional assistance in the amount not to exceed$1,000 to
assist in the promotion and marketing of the PROJECT.
2. The PROJECT COORDINATOR agrees to utilize the said funds for the sole purpose for
development and production/printing of tourism related promotional materials as outlined in the
Tourism Promotion Program.
3. The PROJECT COORDINATOR agrees to provide the REGION all necessary documentation
as outlined in the Grant Program Guidelines when requesting reimbursement.
4. The PROJECT COORDINATOR agrees to a project payment completion date no later than
May 31, 2007.
5. Provided the PROJECT has successfully completed the required steps outlined in the grant
application, to receive funding the REGION agrees to issue the PROJECT'S reimbursable
expenses within 30 days of receiving the documentation but no later than June 30, 2007.
6. The PROJECT COORDINATOR understands that any deviation from the points outlined in the
Grant Program will result in forfeiture of its allocated funds.
7. A Project Agreement must be signed by the EITA Executive Director,the EITA President and
the Project Coordinator. No funding will be disbursed until the EITA office has a Project
Agreement on file. One copy should be kept on file with the coordinator and one with EITA.
Signed Project Agreement must be returned to the EITA office from the Project
Coordinator no later than January 1, 2007. If the EITA office does not receive Project
Agreement by January 1, 2007, award dollars denoted on that agreement will be considered void
and will be returned to the EITA grant fund.
This instrument contains the entire Agreement between all three parties. This agreement may only
be modified in writing by all three parties and is only binding when signed by all three parties.
(President and Executive Director will sign after the Project Coordinator has signed.)
In witness whereof,the undersigned parties execute this Agreement.
Please sign and return immediately to the EITA office at PO Box 189, Dyersville, IA 52040, for
signature of the EITA President and Executive Director.
