HomeMy WebLinkAboutBID PROPOSAL BID PROPOSAL CITY OF WATERLOO, IOWA PREAMBLE The undersigned warrants that he/she is a legally authorized representative of the corporation, partnership or sole-proprietorship listed below and that being familiar with the specifications affecting the cost of the commodity, hereby offers to furnish same commodity F.O.B. to the Waterloo Center for the Arts, City of Waterloo, IA. SUBMISSION OF BIDS Sealed bid proposals will be received by the Waterloo Center for the Arts, 225 Commercial Street, Waterloo, Iowa 50701, until 12:00 pm on the 17th day of November, 2008. Any bid submitted after the specified time shall be rejected. SPECIFICATIONS The bidder guarantees to provide exactly the same item as specified upon notification that he/she is the successful bidder, by the issuance of this bid proposal bearing signature.of an authorized representative of the Waterloo Center for the Arts/City of Waterloo. The bidder agrees to provide, deliver and install professional museum quality high density art rack storage units with a powered mobile carriage system to maximize storage capacity for hanging art in WCA Collection Storage Room 005B. Total storage capacity must meet or exceed a minimum of 6,500 square feet. Maximization of storage capacity will be the primary criteria for evaluating proposals. The system should be equipped with aisle safety features to guard against closures when people or objects are present and with a power override system for use in event of a power failure. The Waterloo Center for the Arts warrants that the installation site will be cleared and prepared to accept the installation. If a sub-floor is required for operation of the carriage system, it will be provided and installed by the bidder. Surface finishing of the sub-floor will be the responsibility of the Waterloo Center for the Arts. Bidder will allow for surface finishing as part of the installation schedule. The Waterloo Center for the Arts will also provide electrical power feeds based on the specifications for the particular units. All handling and moving of collection materials will be the responsibility of the Waterloo Center for the Arts and will not be part of the scope of work for this project. The Waterloo Center for the Arts is equipped with loading dock facilities and with a freight elevator. These will be available for use during the installation. Bids must include all product, installation, freight and travel costs. The Waterloo Center for the Arts/City of Waterloo is a tax-exempt municipal government entity and as such taxes should not be included in bids. BID PRICES The bidder proposes to meet or exceed the above specifications for the following lump sum price: CANCELLATION The Waterloo Center for the Arts/City of Waterloo reserves the right to cancel this agreement, with thirty (30) days notice, if the Cultural and Arts Commission has knowledge that all conditions as stated in the bid proposal have not been fulfilled. PAYMENT Payment shall be made after acceptance, by the Waterloo Center for the Arts and City of Waterloo, of the work performed, and within thirty (30) days of submittal of invoice to the Waterloo Center for the Arts. Name of Company By: Signature Address Title City/State/Zip Date Telephone REQUIREMENTS FOR SUBMISSION OF BIDS All bids must be submitted to the Waterloo Center for the Arts in a sealed envelope clearly marked as follows: BID PROPOSAL FOR WCA COLLECTION STORAGE WATERLOO CENTER FOR THE ARTS 225 COMMERCIAL STREET WATERLOO, IOWA 50701 The name of the business submitting the bid must also be clearly marked on the envelope. All bids must meet or exceed minimum specifications as defined in this document. Bids that do no meet or exceed the minimum specifications, as determined by the Waterloo Center for the Arts and the City of Waterloo, shall be rejected. All bid prices, upon submission by bidder, are recognized to be irrevocable for the minimum of thirty (30) calendar days from date of bid opening. THE BIDDER SHALL STATE THE TERMS AND CONDITIONS OF WARRANTY The Waterloo Center for the Arts and the City of Waterloo reserve the right to reject any and all bids. The Waterloo Center for the Arts and the City of Waterloo reserve the right to reject any bid that is either considered not to be responsible or not most advantageous to their interests. The Waterloo Center for the Arts and the City of Waterloo will award the contract to the responsible bidder whose bid meets or exceeds minimum specifications. The bidder guarantees that title conveyed shall be good and goods shall be delivered free from security interest or other lien or encumbrance. Bidders are encouraged to submit additional warranty information and product specifications with their bid. OPENING AND ACCEPTANCE OF BIDS Sealed bids will be opened and read at a public hearing to be held on the 17th day of November, 2008 in the Council Chambers at Waterloo City Hall. All bidders may be in attendance at the bid opening. Bid proposals will be passed on to Waterloo Center for the Arts staff for further review.
