It is the intent of this proposal to purchase Office Supplies for all departments of the City of Waterloo. 2. No bid deposit will be required. 3. All office supplies purchased in that time period will be at the agreed discounted cost. This agreement may be renewed if the parties can reach mutual agreement on the terms. 5. The products described in the Detailed Office Supply Listing establish a sample of office supplies used by the entities. We ask each vendor to complete this sample office supply price list. Each such request shall include the name of the product for which it submitted an alternate including any other information necessary for a complete evaluation. The City's decision of approval or disapproval of a proposed alternate shall be required and that decision is final. 6. The vendor shall provide us with their detailed, current catalog of office products, along with the amount or percentage of any discounts that would be given to the City of Waterloo. The successful bidder shall furnish a minimum often (25) twenty-five catalogs to the City of Waterloo. 7. As part of your bid,please provide to us your estimated average turnaround time; that is,the amount of time it would take you to deliver a product once it has been ordered. The turnaround time should be no longer than two business days, delivered separately to each requesting City department at their specified location. 8. Each department shall be billed separately. Approximately twenty-five (25) for the City of Waterloo. 9. Award of the Agreement by the City of Waterloo will be based on a weighting formula that evaluates item costs, quality of product, timeliness of service, and the billing process. The City reserves the right to reject any and all quotes, to accept in whole or in part, to waive any informalities in quotes received, to accept quotes separately or combine quotes when it is in the best interest of the City. 10. If two or more quotes are equal in all aspects, preference shall be given to the local business, as determined separately by the city. 11. It is the intent to make an award by October 10, 2011. Vendor agrees that bid prices are irrevocable from the bid submission date through November 1, 2011 or date of acceptance, whichever is later. Upon award of bid, a contract will be signed by the Waterloo City Clerk and therefore be a legal binding agreement. 12.
