The meeting was called to order by the Chair, Ed Gallagher, Jr. at 4:05 P.M. in the meeting rooms of the Waterloo Public Library. Captain Schafer announced that he would be leaving the area for assignment in North Carolina. He introduced his replacement, Captain Mark Bauer who will head the parade committee. Upon motion of the Chair, seconded by Larry Burger, the committee extended its thanks to Captain Schafer for his assistance to the committee and wished him well in his new assignment. Ed Gallagher welcomed Captain Bauer. Minutes of the March 2, 1992 meeting were approved as mailed. Ed Gallagher suggested that Junior Grimm might be of great assistance to the parade committee and spoke of his involvement in the organization of the parade two years ago. Captain Schafer indicated that Mr. Grimm would be contacted. Larry Burger reported that Hellman Design had given favorable response to looking into the development of a poster for the event. The firm expressed an interest in getting assistance in doing the research and had requested that a quality printer be engaged for the printing of the product. They had suggested Albee Printing and Larry indicated he had approached Joe Fox about the project. Larry suggested that a small committee be appointed to meet with the Hellman Design personnel. It was agreed that in addition to the Hellman Design personnel, committee members would be Larry Burger, Joe DeBonis with Cedar Valley Stamp Club, Joe Fox, Ed Gallagher and Bev Lind. Ed Gallagher suggested a breakfast meeting and Larry suggested that we hold it at the Holiday Inn. Larry will make contact with Hellman Design for dates for a meeting. It was suggested that Mike Magee would have much of the material needed for research and it was agreed that Mike should also ask to serve on the committee, as should Billie Bailey. Larry reported on the fuel for military planes being provided by the Waterloo Airport. We need to determine how much would be needed. Captain Schafer indicated that he would think if the committee would see to the feeding and housing of the military personnel in question, little or no fuel backup would be needed. He indicated that Lt. Koontz could give us some idea on need, if any. Bev Lind reminded the committee that the Military Vehicles Preservation group would appreciate any donation of fuel for their vehicles which could be given. Ed Gallagher indicated that he would contact Jim Lind on this and would try to report back on this after June 1. Larry further reported that he had contacted Met Transit director, Walt Stevenson. Walt indicated that Met Transit would volunteer buses to transport people, taking them to destinations indicated and coming back for them at certain times. He requested localities, times, and dates when known and Met would be there. Page 2 Jim Wilson reported that he had contacted Curley Hultman, who agreed to contact the Reserve Officers Association regarding some monetary contribution. Ed Gallagher read a letter from Lt. Koontz about his progress, and that he was soliciting material from the Archives. He is currently involved with some of the programming of the WW II Commemorative Committee. Jim Wilson suggested that Junior Grimm might be of some assistance in fundraising from the Reserve Training Units. Ed called on Bob Schreiner for a financial committee report. Bob recapped the sources of funding at the event two years ago. Contributions ran as follows: Veterans Groups $ 725 - 5% Committee Members 1,112 - 8% Miscellaneous 1,281 - (Major contributor Rooff family) Banks (3) 2,500 - 17% Businesses & 8,325 - (McElroy gave $5,000 of this) Corporations Bob suggested that fundraising start with the committee itself. Checks are to be made to the Waterloo Civic Foundation and specified for the Sullivan project. It was agreed that the checks could be mailed to the attention of Bob Schreiner, c/o Waterloo Public Library, 415 Commercial Street, Waterloo, Iowa 50701. Deposits will be made at the Waterloo Savings Bank, currently handling the accounts of the Waterloo Civic Foundation. Bob asked who could contact the various veterans' groups of Black Hawk County. There were no immediate volunteers from the group present. It was suggested that Craig White might help with this. Jim Wilson indicated he would work on this if Mr. Schreiner would assist him. Bob agreed to assist him. McElroy Foundation will be contacted by Billie Bailey of the Grout Museum. It was suggested that there was a need for some stationery to conduct the business of the committee. Bev Lind agreed to work on this and Larry Burger indicated he would work with the City Print Shop to produce it. Several members of the committee asked for some stationery. Kevin Alexander asked Jim Wilson for a list of the veterans groups in the county. Jim indicated that he would forward it to Kevin. Kevin volunteered to solicit United Auto Workers. It was suggested that since the Sullivan family had ties to Rath this should not be overlooked. Bob Schreiner recommended that one has to make a personal contact when soliciting money. Letters need to be sent to the national veterans groups. It was suggested that John Deere be contacted even though they ask for one year's notice for gifts over $100. Ed Gallagher indicated that he would contact an acquaintenance at NBC to learn of the feasibility of obtaining national recognition, perhaps with Willard Scott. It was suggested that Bob Hope be contacted due to his involvement with the USO. Bob indicated that the service organizations be contacted such as, Elks, Optimist, Rotary, Kiwanis, etc. Mr. Gallagher indicated the need to obtain someone to head a public relations committee. Jim Wilson suggested Don Irwin and indicated that he would contact him. The committee will need to work with Bob Schreiner, and Ed reported that Jan Payne of the Convention and Tourism Bureau had also agreed to serve on that committee. Captain Schafer reported that the parade was shaping up. The budget was ready, Kevin Alexander was in communication with the Military Vehicles Preservation people, Page 3 and he was obtaining a list of the people involved with the "My Waterloo Days" parade. He indicated that he would be getting the committee together so they could also meet Mark Bauer, his replacement. Capt. Bauer assured the committee they would proceed as planned. Ed Gallagher introduced Joe DeBonis from the Cedar Valley Stamp Club. Joe indicated that the club was planning to produce a cache cover for the event. The post office has approved the cancellation and they will be made available during the days of the events at the Five Sullivan Brothers Center by the club's members. Cost will be 3 for $2. The club is responsible for designing the cover so he was interested in material available for the possible design. If the Hellman poster is satisfactory for the cover that could be what they would use. Bob Schreiner asked if the club would be willing to donate proceeds over expenses to this committee to help defray expenses. Joe indicated he would contact the club about this. There was some discussion about what would be required to have the postal service produce a special stamp. At least 3 years notice of a suggestion must be made to the postal service. In the absence of Mike Magee, Bev Lind reported that Mike had contacted all the survivors of the Juneau, to learn of their interest in attending the event. He has heard from all of them, all are interested but could use some assistance with their expenses. Ed Gallagher suggested that we should increase the amount of the budget from $7,700 by an additional $4,000 to $5,000. We could look at some help on expenses for the survivors, to produce a program, and stationery. Jim Wilson reported that there might be as many as 50 complimentary tickets for the banquet. Beverly Lind suggested that committee members begin thinking about a guest list who will need invitations. She asked Mayor Manning if Judy McVey, from his office could assist in compiling a list of those who should be invited. He indicated that she could. Ed Gallagher reported that he was working on the request for a fly over. Sarah Barth indicated that with these other potential guests she would check on the availability of additional rooms in the area for the dates of the event. Someone reported that WMT, Channel 600 was broadcasting material called the WW II Chronicles. They were obtaining their information from the American Legion and the National Archives. Perhaps they would be interested in material about our event. It was suggested that a letter be sent to the National Archives and Records Administration, W W II Chronicles, 7th Street and Pennsylvania Avenue, N.W. Washington, D.C. 20408. The next meeting was set for June 18, 1992 at 4:00 P.M. in the meeting rooms of the Waterloo Public Library. The meeting adjourned at 5:00 P.M. Schafer, Betty Wubbena, Jim Wilson, Bev Lind The finance committee meeting was held in the small conference room of the Waterloo Public Library at 2 P.M. with Bob Schreiner presiding. Bob reviewed the fund raising results and expenditures from two years ago when the convention center was renamed to honor the five Sullivan Brothers. A total of $22,543 was raised with the following contributions: City of Waterloo $ 8,600 McElroy Trust 5,000 Private donations 1,000 to $100 each (Businesses, Organiz. Individuals) Button sales 1,100 Expenses incurred were as follows: Display $ 20,378 Film 1,258 Survivors' travel 1,000 Phone calls, misc Arrangements were made through the Waterloo Civic Foundation, currently operating out of the Waterloo Savings Bank, to deposit and disperse funds. The remainder of $811.00 is in the account with the Waterloo Civic Foundation. The committee developed a proposed budget. (See attached.) Captain Schafer asked for some clarification from those present about the parade. The committee understood that the parade was to form at Sullivan Park and proceed to the 5 Sullivan Brothers Convention Center. The reviewing stand had previously been located in the parking lot to the east of the Courier building. Captain Schafer recommended that instead of having the rifle salute at the intersection of 4th and Commercial that it be held following the parade on the grounds around Memorial Hall. There would be a rifle salute and buglers playing "Taps" about 11: 15 A.M. It was suggested that Mr. Chamberlain of the U.S.S. Juneau reunion committee should be consulted to inform him of the availability of the rifle salute and buglers since they would be conducting their memorial service at this time, probably in the same place. There was a brief discussion of how the dignitaries could be utilized most effectively during the event. It was suggested that if the Secretary of the Navy was the Friday night banquet speaker, perhaps Admiral Ramage could introduce him. We might consider Admiral Ramage and General Hultman as possible speakers at the tree planting ceremony at the Grout Museum. There was a brief discussion on who would be assigned to the head table. It was agreed that an invitation list should be compiled soon and this would govern who would sit at the head table. Possible persons seated there would include Mayor Manning, Governor Branstad, Ed Gallagher, the Secretary of the Navy, Admiral Ramage (if introducing the Secretary) , etc. The meeting adjourned at 3:40 P.M.
